Documenting Your Ontario Move-Out Clean
When you move out of an Ontario rental, your security deposit (last month's rent) is at stake. Landlords cannot withhold a deposit for cleaning without grounds — but grounds can be disputed, and documentation of your move-out clean is the most important evidence you have if a dispute goes to the Landlord and Tenant Board (LTB).
What to Document
- Before photos of move-in condition: If you documented the condition at move-in (highly recommended), this establishes the baseline you're returning to
- After photos of move-out condition: Take timestamped photos of every room, every appliance interior, all bathrooms, and any areas that were in questionable condition at move-in. Timestamp is critical — photographs without a clear timestamp have reduced evidentiary weight at the LTB
- Professional cleaning receipt: If you hired a professional cleaning service, the invoice is evidence of the cleaning. Keep the receipt with the date, address, and description of services
The Move-Out Inspection
Under the Ontario RTA, you can request a move-out inspection with the landlord. This is optional but recommended — a joint inspection with the landlord where any cleaning concerns are raised in person gives you the opportunity to address them before the landlord takes action. Request the inspection in writing and document anything raised with a follow-up email confirming what was discussed.
If Your Deposit Is Withheld
If your landlord withholds part or all of your deposit claiming cleaning costs beyond normal wear and tear, file with the LTB (Landlord and Tenant Board) using Form T1 (Application to Recover Money the Landlord Owes). Your documentation — photos, receipts, move-out inspection record — is what the adjudicator will consider.
